The post is on a full-time 2 year fixed-term contract basis, based at our Brentford office in London and 37.5 hours per week spread over Monday to Friday.  We offer a competitive salary and benefits package depending on experience.  

 

Role: Administrative Assistant is responsible for undertaking financial, administrative and clerical tasks to ensure effective and efficient operations of the department, in accordance with established standards.  Reporting to Head of UK Finance and Country Manager, the Administrative Assistant will be responsible for financial control and completion of all operational finance tasks whilst performing the day-to-day activities to ensure the invoice payment process runs smoothly and suppliers are paid within established time limits.  Main duties include but not limited to:

 

  1. Receive and verify invoices and requisitions for goods and services for UK offices including City Ticket Office(CTO), London Heathrow, London Gatwick and Manchester airports.   
  2. Diligently verify transactions comply with financial policies and procedures.
  3. Prepare invoices & other payment requests for processing in specified designated folders in SharePoint.
  4. Process invoices in SAP to initiate PO & SES for payment.
  5. Update excel control reports after data upload.
  6. Manage accounts email inbox and ensure emails and queries are responded to according to SLAs.
  7. Be responsible for the invoice lifecycle from execution to settlement and escalate any concerns to the respective stake holders. 
  8. Develop a robust process of supplier statement reconciliation to ensure timely rectification of outstanding items.
  9. Ascertain timely processing of the monthly invoices to be paid within the due date.
  10. Maintain an accurate filing system and bank data for all payment documents as well as contracts for references and audit purposes.
  11. Cross departmental liaison in solving day-to-day financial and administrative matters.
  12. Manage petty cash funds and replenishment process.
  13. Complete employee’s attendance records on daily basis to ensure compliance and maintenance of accurate records.
  14. Opening and distribution of mails, posting outgoing correspondence, ordering stationary, answering telephone, typing letters, and other ad hoc tasks as and when required.
  15. Keeping office supplies, stationary, equipment inventory updated.
  16. Perform other duties as required by Country Manager and Finance Team.   

 

 

About you:

  • Experience of SAP.  Able to work on SAP & SharePoint Platforms relevant to essential Electronic Approvals, PO creations & AP Transactions.   
  • Demonstratable in-dept knowledge and experience in Finance and Administration processes.  
  • Good working knowledge of PC based applications such as MS Excel, Word and Outlook.  
  • Resilient, service-oriented individual with the ability to multi-task, think critically and work under pressure. 
  • Willingness to support the team and be flexible to changing needs of the department/company.
  • Ability to act on own initiate and proactively implement changes.
  • Exceptional verbal and written communication skills with the confidence to communicate effectively with suppliers and internal stakeholders.
